Warehouse Management

Project Goal

QuickBooks customers were increasingly looking for an integrated solution that connected accounting, order management, invoicing, and inventory rather than relying on separate warehouse and inventory products.
For small and mid-sized product businesses, the gap was particularly significant: they needed to track inventory, manage orders through fulfillment, and generate accurate invoices based on delivered orders. Without an integrated workflow, customers had to rely on third-party solutions, creating friction and increasing the risk of moving their accounting workflows to competing platforms.

Product Features

Inventory Management

Track product movement, storage, and inventory levels in real time.
Transfer inventory seamlessly between locations and warehouses.
Use serial and lot numbers to manage inventory, warranties, and product defects.

Order Management

Manage the end-to-end sales order fulfillment process from a single dashboard.
Prioritize orders based on customer value and fulfillment requirements.

Barcode Scanning

Automate receiving, accelerate picking, and reduce manual data-entry errors.
Enable workers to scan inventory, receive orders, and transfer data wirelessly from the warehouse floor.

User Research

Conducted field research across multiple small-business locations in the US and India to understand how QuickBooks customers manage orders, invoices, and inventory in their day-to-day operations.

Research revealed that these businesses did not need a full-fledged warehouse management system; they primarily needed a simple, integrated way to connect customer orders → fulfillment → invoicing → inventory tracking within their existing QuickBooks workflow. This aligned with QuickBooks’ broader focus on connecting sales transactions and inventory management.

User Persona

1. Admin / Business Owner

Oversees orders, inventory, and fulfillment across one or multiple warehouse locations.
Selects orders, assigns them to the appropriate warehouse, and monitors fulfillment status.
Needs a simple, high-level view to make quick decisions without managing warehouse-level details.

2. Warehouse Manager

Has detailed knowledge of products, inventory levels, and their physical locations within the warehouse.
Manages receiving, picking, transfers, and fulfillment activities on the warehouse floor.
Needs detailed inventory visibility and tools to efficiently coordinate daily warehouse operations.

3. Picker / Receiver

Frontline, often part-time or less-experienced workers responsible for receiving and picking inventory.
May have limited familiarity with warehouse processes and technology, requiring simple, intuitive, task-focused workflows.
Needs clear instructions, minimal steps, and easy-to-understand interactions to complete tasks accurately.
